I belong to several subscriptions that send me music all the time and I usually import with iTunes (as its my Master DB for everything since no matter with program you DJ with, they all read the iTunes DB).
Now when I launch Virtual DJ and want to play one of those newly imported songs, I can't seem to find it so I am assuming I must right click on the Volume (or directory) and click on Add to Search DB (even though I have done this previously).
I know another option is to make sure in my VDJ settings, under Browser, Search Database has Add Automatically shown which means if I browse to each song it will automatically be added to the search db.
Seems like there should be an easier way like. Check for Song Updates or something that will kick off a validation that the database is still accurate which would help find songs that may have been removed because the quality is crap or it was discovered to be a bad song.
Am I crazy or are these the only two ways to handle newly added files?

I'm not sure what the problem is here but one thing that struck me as a red flag is you mentioned "Right click on Volume or Directory and click on Add to Search DB again (which takes me 8minutes)". When I right click on a volume and select "add to database" it literally takes half a second for VDJ to process, not 8 minutes. I don't know if that is a starting point for your problem but it does seem odd.
You might want to right click on the iTunes icon in VDJ and select "Reload" seeing as you use iTunes to manage your music (so do I).
